POS Sync by Leadout

One shelf. One stock count.

For ServiceM8 businesses that sell parts over a counter and fit the same parts on jobs. POS Sync keeps your parts in your Square POS and takes them off when a ServiceM8 job is completed, so the counter and the workshop stop keeping two counts that drift apart.

How it works

Four steps. Inventory only.

No payments, invoices, quotes or client details ever cross over.

  1. 01

Your parts go into the POS

Materials you mark as stocked in ServiceM8 are created in Square with their name, item number, barcode, counter price and the right tax.

  2. 02

Job parts come off the shelf

When a job is marked completed, its parts come off the POS stock count, once per job line. Edits made after completion are corrected line by line.

  3. 03

    Reorder levels from real jobs

Low-stock levels set in Square from your own completed-job history. Square places any orders; POS Sync doesn't.

  4. 04

    Shelf count back to ServiceM8

The count from the POS written back to the material in ServiceM8, skipping items your accounting system tracks. Planned, not yet running.

It runs on Square's free plan for a single location. Purchase orders and more than one location need Square for Retail Plus, and then POS Sync's reorder levels drive Square's own purchase orders.

Who it's for

A counter and a workshop.

ServiceM8 businesses that sell the same parts over the counter as their technicians fit on jobs.

  • Locksmiths
  • Bike and eBike workshops
  • Mower and small-engine dealers
  • Pool and spa services
  • Phone and computer repairers
  • Appliance repairers
  • Mobility equipment suppliers
  • BBQ, gas and heating stores
  • Security and CCTV installers
  • Marine services
  • Auto-electrical and 4WD fitters
  • Sewing machine and vacuum repairers

A weak fit for trades with no counter, such as most electricians, plumbers and air-conditioning businesses. Their stock lives in vans, and each van as a Square location needs Square for Retail Plus.

Your data

What it never touches.

No payments

It never takes, records or moves a payment. Job payments stay in ServiceM8.

No jobs, quotes or invoices in the POS

It creates nothing in the POS except items, low-stock levels and stock deductions.

No client details

Client names, addresses, contacts, notes, photos and invoices are never sent anywhere.

Kept small, deleted on request

It keeps only its access tokens and a run log of job number, item and quantity, on Google Cloud in Sydney. Both are deleted when you disconnect, or when you ask.

Also

The figures your accountant asks for.

Stock value each month

Shelf counts valued at your ServiceM8 purchase cost, ex tax, ready for the month-end journal.

A health page

What moved, what is running low, and any job edited after it was settled.

More POS systems to come

Square first. Lightspeed and Shopify POS are next on the list.

Questions

POS Sync questions.

Can we use it now?

It's in pilot at Tune Cycles, our own workshop. We're adding businesses one at a time. Book fifteen minutes and we'll tell you whether yours fits the pilot.

Is it a ServiceM8 add-on?

No. It connects to ServiceM8 and to Square with your permission on both, and has no screens inside ServiceM8.

Do we need Square for Retail Plus?

Not to start. The free plan covers one location. Plus is needed for purchase orders and more than one location.

What does it cost?

Pricing is set when the pilot ends. Pilot businesses hear first.
