Voice, chat and IVR

An AI receptionist that writes into your job system.

Voice, chat and a phone menu that routes calls, set up to Australian rules. It answers when you can't, takes the details, and writes them where your team works: Simpro, ServiceM8, GoHighLevel or Lana.

The front desk

Three parts. One front desk.

Plenty of AI receptionists exist now, including ServiceM8's own Phone Agent. The difference is what happens after the call.

01

Voice

An AI voice agent answers after hours or when the line is busy. It knows the caller, takes the message, texts a link and books a callback.

02

Chat

Website, Facebook, Instagram and WhatsApp chat that answers from a written document of your business, and hands over to a person.

03

IVR

A phone menu that sends sales, service and after-hours calls to the right person or the right agent.

Running at Tune Cycles: after-hours calls go to a voice agent that sees the caller's details and bikes on file, texts booking or product links, and books callbacks for the right person the next business day.

The rules

The rules, in plain words.

An AI on your phone line is still your business talking. These are the lines we build to.

Tell callers it's AI

It says so at the start, never claims to be a person, and offers a person.

Announce recording

Several states and territories, NSW included, need everyone's consent before a call is recorded. We announce it before anything records.

No AI sales calls to Do Not Call numbers

A synthetic voice counts as a call under the Do Not Call Register Act.

Job texts stay job texts

Updates about a job are promotion-free. Marketing texts need consent, sender ID and a working unsubscribe.

You own what it says

The business is responsible for its AI's answers, so it answers from your documents and escalates what it shouldn't handle.

No AI-written reviews

It can ask for a review. It never writes or posts one.

General information, not legal advice.

Safe by design

You approve. AI earns its way in.

Every build starts small and read-only, and gets write access one step at a time.

Dry run first

Every tool shows what it would change, and changes nothing until a person says yes.

You approve what matters

Quotes, refunds, anything sent under your name: a person signs off before it goes.

Customers know it's AI

Chat and voice agents say they are AI, offer a person, and announce recording before a call is recorded.

Your data stays yours

It lives in your own Simpro, ServiceM8, CRM and AI accounts. Nothing is copied into a system we own.

Built to Australian rules

Call-recording consent, the Spam Act for texts and email, the Do Not Call Register for AI voices, and no AI-written reviews.

Handed over properly

Every build ends with an AI policy and a register of the AI tools you use, with one named owner.

General information, not legal advice.

How it starts

One job first. Measured.

We don't start with a platform. We start with the task that eats the most hours, and prove it.

  1. 01

    A fifteen-minute call

Which job eats your week? Which system holds it? We tell you straight if AI is the wrong tool.

  2. 02

    We time it

Minutes per task, on your own jobs, before anything changes. That number is what we have to beat.

  3. 03

    We build one thing

It runs as a dry run first. You see every change it would make, and you approve it.

  4. 04

We train the people who use it

Role by role, on your own system, with your own jobs. The go-to person in the office first.

  5. 05

    A month later, we check

Is the task faster? Who still uses it? What needs changing? Then we pick the next job.

Every build is quoted before it starts. No platform plans, no lock-in.

Questions

Receptionist questions.

Will callers know it is a machine?

Yes. It says so at the start and offers a person.

Can it book jobs?

Our builds take the details, text a booking link and book callbacks today. Booking straight into the job system depends on the system, and we'll tell you what yours allows.

What does it cost to run?

Calls, texts and AI answers are billed by the platform on usage, in your own account. We quote the set-up before we start.

Does it work with ServiceM8's Phone Agent?

If the Phone Agent suits you, use it, and we'll connect what it doesn't reach. If you need more control over the script, the menu or the handover, we build it in your CRM instead.

Book a call

Find the hours first.

Fifteen minutes, no pitch deck. Tell us which job eats your week and we'll tell you whether AI is the answer yet.
